Administrative Assistant vs. Transaction Coordinator vs. Licensed Transaction Manager - What's the difference?

In real estate, the roles that support a transaction are often grouped together, but in reality they represent very different levels of responsibility and involvement in the process.


Understanding the difference helps agents build the right support structure for their business and ensures that transactions are handled with the level of care they deserve.



Administrative Assistant


An administrative assistant typically provides general business support. Their responsibilities often include tasks such as scheduling, managing email, assisting with marketing, or helping an agent stay organized.


Administrative assistants are incredibly valuable in helping an agent manage the many moving pieces of their business. However, this role is not designed to oversee the legal or contractual aspects of a real estate transaction.


They may help organize documents, but they are not responsible for reviewing contracts or managing compliance within the transaction itself.


Unlicensed Transaction Coordinator

An unlicensed transaction coordinator focuses more specifically on the paperwork involved in a transaction.


This role often includes organizing documents, collecting signatures, tracking deadlines, and coordinating communication between lenders, title companies, and agents.


While this type of support can be very helpful in keeping paperwork organized, an unlicensed coordinator is limited in what they are legally allowed to do. They cannot draft contracts or assist with contract language, which means the agent remains responsible for preparing the documents that move the transaction forward.


For agents who prefer to handle the contract side of the transaction themselves, this type of support can be sufficient.


Licensed Transaction Manager

A licensed transaction manager brings an additional layer of experience and responsibility to the process.


Because they are a licensed real estate professional, they are able to assist with drafting contracts, reviewing documents for completeness, and helping ensure that the transaction aligns with state requirements.


More importantly, this role shifts the relationship from simple support to true partnership.

The agents I work with remain the heart and brain of the transaction. They guide their clients, negotiate the terms of the deal, and build the relationships that drive their business forward.


My role is to act as the fingertips that keep everything moving.


By managing the documentation, overseeing timelines, reviewing contracts, and coordinating the many details that happen behind the scenes, I allow agents to hand over the file with confidence.


This allows them to focus on what they do best: building relationships with their clients, advising them through important decisions, and negotiating the best possible outcome.


When each person operates in the role they are best suited for, the transaction becomes smoother for everyone involved. The agent remains focused on their clients, while I ensure the process stays organized, compliant, and moving steadily from representation to close.


Real estate transactions are complex. Having the right structure behind them makes all the difference.


The agents I work best with view their business as a long-term professional practice. They understand that strong systems and clear roles create smoother transactions for everyone involved. When the agent focuses on relationships and negotiations, and the transaction manager focuses on structure and process, the result is a transaction that moves efficiently while protecting the interests of the clients involved.
